    We’re hiring our first Operations Manager to own post-sale (and some pre-sale) operations end-to-end — email-first, customer-facing work — so the team can stay focused on growth, sales, and product. You’re the person customers hear from, and the one who makes sure orders actually get where they’re going.

     

    What you’d own

     

    In peak seasons (Feb–April and Aug–Nov), you own front-line customer support and the inbox (“Where’s my seed?”, order changes, problem resolution); shipping coordination (ship dates, tracking, freight status, lost-shipment follow-up); fulfillment problem-solving with our warehouses when an order is short, mislabeled, or needs redoing; and chasing down the supplier and warehouse paperwork that keeps our records accurate. In the calmer off-season, you track the team’s projects and to-dos so they don’t slip, handle recurring admin and compliance paperwork, coordinate occasional mailings, and help prepare for upcoming seasons.

     

    Who we’re looking for

     

    Traits that matter far more than industry experience:

     

    You communicate clearly and warmly in writing — you’re the voice customers hear most, and you write calmly even when the inbox is stacked.

     

    You operate independently — you make defensible calls when the picture is ~70% complete and loop owners in for genuine judgment calls, not every decision.

    You’re comfortable with new software — our stack changes and you’ll live in our admin tools all day.

     

    You reach for AI and new tools — we use AI heavily and we’re leaning in harder as we grow. You should already use these tools by choice and be genuinely excited to push them further.

     

    We’ll teach you everything industry-specific. This is an email-first role — we care most about how you write and how you keep things from slipping.

     

    What to expect

     

    High autonomy — we’re hiring you to own this, not to ask permission. You’ll own our operations, not a team (no direct reports). Seasonal intensity — peak stretches are high-tempo; the rest of the year is calmer. We automate aggressively, and your job is to do the work and be our partner in deciding what to automate next. We’re remote — you’d report directly to a founder; the Lincoln, NE office is optional, otherwise work from wherever.

     

    Compensation & benefits

     

    Base salary $70,000–$100,000 (depending on experience; we’ll go higher for the right person), plus a performance bonus tied to peak-season outcomes, a $1,000/month healthcare stipend, and unlimited vacation.

     

    Location & requirements

     

    Remote, US only — any time zone. Must have authorization to work in the US; we do not sponsor visas at this time. Roughly 40 hours/week.

    Role Description:

    • Reports to: Director, Clinical Operations
    • The Clinical Trial Associate will play a key role in supporting day‑to‑day clinical trial operations across multiple studies. This role is ideal for someone who thrives in a dynamic environment, enjoys cross‑functional collaboration, and is comfortable taking ownership of essential operational and administrative tasks. You will work closely with clinical sites, vendors, and internal team members to ensure smooth study execution and compliance with regulatory and company standards.

    Key Responsibilities

    • Support finalization and maintenance of site budgets, ensuring accuracy and alignment with study requirements.
    • Review, track, and approve site invoices and payments in accordance with contractual terms and internal processes.
    • Support oversight and coordination of vendor(s) responsible for investigator payments, ensuring timely and accurate disbursements.
    • Maintain study trackers and spreadsheets, ensuring timely and accurate entry of operational data.
    • Generate and distribute enrollment and performance reports for internal teams and clinical sites.
    • Manage user access across various study systems, trackers, and electronic platforms, including adding, modifying, and removing users as needed.
    • Prepare, distribute, and archive meeting minutes, agendas, and other study documentation.
    • Support the development, organization, and maintenance of Trial Master File (TMF) documentation.
    • Perform general administrative and operational tasks to support the Clinical Operations team and overall study execution.

    Successful Candidates Will Meet Most of These Criteria:

    • Bachelor’s degree in life sciences, healthcare, or a related field.
    • 2–4 years of experience in clinical research, preferably within biotech, pharma, or CRO environments.
    • Strong understanding of GCP, ICH guidelines, and clinical trial processes.
    • Excellent organizational skills with the ability to manage multiple priorities in a fast‑paced setting.
    • Proficiency in Microsoft Excel and other data‑tracking tools; comfort learning new systems quickly.
    • Strong written and verbal communication skills, with attention to detail and accuracy.
    • Ability to work both independently and collaboratively within a small, agile team.

    The annual base salary we expect to pay is $94,000-115,000. Individual pay decision depends on various factors such as responsibility of role, job duties/requirements, and relevant experience and skills. In addition to the base salary, this position is eligible for an annual target bonus of 10%, subject to the terms of the company’s bonus program.

    How You’ll Make An Impact

    • Support brand marketing team and franchisees in campaign development and execution, print, digital menu boards, local store marketing (LSM), in-store / on-site store support, new product testing, vendor licensing, budgets, purchase orders and invoicing.
    • Provide regional marketing campaign support:
    • Coordination, execution, and communication with system through development of creative services promotional catalog.
    • Develop standard and/or customized point of purchase (POP) to ensure wide variety of quality products and affordable pricing.
    • Work with marketing leadership team to develop and execute campaign communication including but not limited to regional marketing creative solutions, intranet postings, crew communication, and frequently asked questions.
    • Provide franchisee guidance on optional campaign support materials including custom request process.

    • Collect and complete vendor reports. Assist in the development of executive summaries utilized for annual planning and national presentations. Analyze data and provide report to management.

    • Keep marketing leadership informed of project status and collect and disseminate information to department/project leaders as appropriate.
  • Assist with coordination and execution of cross promotions and/or crew incentive programs from ideation process through implementation, communication and evaluation.
  • Digital menu board content execution, including:
    • Administer digital content and user groups for all digital menu boards for campaign rollouts, core/optional menu items, variance menu items, new store openings, test market rollouts and custom digital menu board requests.
    • Review and execute all incoming requests from stores (existing/new stores) for product and price changes.
  • Keep marketing management updated on project status, issues, and new opportunities to reduce costs.
  • Work with brand marketing and creative teams to manage branded marketing product quality control by implementing vendor licensing and compliance plans. Coordinate annual vendor business reviews to establish improvement / cost saving strategies.
  • Manage marketing internal and external issue resolution from operators, vendors, colleagues, and consumers (if needed).
  • Provide support to marketing teams (and cross functional teams as needed) on special projects, researching new tools and resources to launch projects regionally.
  • Coordinate and monitor department, team and/or marketing program budget expenses. Tracking and reporting expenses and monthly billing.

  • Who You Are
