By anticipating resource needs, timeline adjustments, and potential challenges, the department ensures projects are delivered on time, within\u00a0 scope, and on budget. This predictive approach drives efficiency, aligns efforts across teams, and fosters proactive\u00a0 decision-making. Ultimately, it minimizes risks, optimizes performance, and enhances client satisfaction by maintaining clear foresight throughout the project lifecycle.<\/p>\n<p><\/p>\n<p>The role contributes significantly to the agency&#8217;s overall success by ensuring the smooth and timely execution of\u00a0 client campaigns, upholding quality standards, and fostering effective communication across all stakeholders.\u00a0<\/p>\n<p><\/p>\n<p><b>Working Shift: 8:00 AM &#8211; 5:00 PM EST<\/b><\/p>\n<p>n<\/p>\n<p><\/p>\n<p><b>Responsibilities:<\/b><\/p>\n<ul>\n<li><b>Project Management and Planning\u00a0<\/b><\/li>\n<li>Develop a detailed project plan to track progress.\u00a0<\/li>\n<li>Ensure that all projects are delivered on time, within\u00a0scope and budget.\u00a0<\/li>\n<li>Manage on-time deliverables.\u00a0<\/li>\n<li>Align project plans with resources and financials to\u00a0optimize profitability and operational efficiency, such\u00a0 as calculating the media relations hours to assist Operations in scaling expansion efforts and hiring for proper division staff utilization and capacity planning.\u00a0<\/li>\n<li>Observing and ensuring project deliverables are\u00a0completed and that they adhere to standards, in\u00a0 coordination with agency standards, in liaison with\u00a0Delivery departmental leaders and Operations.\u00a0<\/li>\n<li>To Efficiently ensure approved press releases are\u00a0scheduled on time for distribution,\u00a0demonstrating a proactive approach to\u00a0maintaining precise campaign timelines and\u00a0optimizing strategic impact.\u00a0<\/li>\n<li>Status Report Compilation: Preparing status reports\u00a0by gathering, analyzing, and summarizing relevant\u00a0information.\u00a0<\/li>\n<li><b>Project Management System Utilization\u00a0<\/b><\/li>\n<li>Managing the Project Management System to full\u00a0capacity to facilitate efficient planning, tracking, and\u00a0execution of all PR campaign projects.\u00a0<\/li>\n<li>Utilize the Project Management System as a single\u00a0source of truth in real-time for all PR campaign\u00a0projects.\u00a0<\/li>\n<li>Uploading New Client SOW in accordance with\u00a0campaign templates set up in the project\u00a0management system.\u00a0<\/li>\n<li><b>Integration:<\/b> Connects project management system\u00a0with everyday tools to reduce manual tasks and\u00a0 accelerate customer value delivery.\u00a0<\/li>\n<li><b>Coordination and Communication\u00a0<\/b><\/li>\n<li>Establish and sustain proactive and transparent\u00a0communication channels with clients, writers, Deputy\u00a0 Chief Strategist, and Media Relations Strategist.\u00a0\u00a0<\/li>\n<li>Foster effective collaboration with internal teams to\u00a0 facilitate a streamlined workflow, promptly\u00a0 addressing and resolving any potential issues that\u00a0may arise.\u00a0\u00a0<\/li>\n<li>Facilitate the onboarding process for new clients,\u00a0ensuring a seamless integration into the established\u00a0operational framework.\u00a0<\/li>\n<li>Strategically oversee and monitor the progression of\u00a0upcoming press releases, deliverables, articles, and\u00a0tasks to ensure adherence to established timelines.\u00a0<\/li>\n<li>Coordinating with team members to make sure that\u00a0all parties are on track with project requirements,\u00a0deadlines, and schedules.\u00a0<\/li>\n<li>Meeting with project team members to identify and\u00a0resolve issues pertaining to deliverable timelines and\u00a0execution.\u00a0<\/li>\n<li>Facilitate the seamless flow of information by\u00a0promptly sending Completed Staff Works (CSWs) to\u00a0clients for approval, and skillfully implement feedback\u00a0to enhance project deliverables.\u00a0<\/li>\n<li>Implement proactive follow-up procedures for\u00a0outstanding press releases or pending client\u00a0approvals, employing decisive actions to safeguard campaign schedules.\u00a0<\/li>\n<li>Ensures accountability and crafts exceptional\u00a0customer experiences throughout the onboarding\u00a0process.\u00a0<\/li>\n<li>Managing customer satisfaction within the project\u00a0transition period.\u00a0<\/li>\n<li>Documenting and following up on important actions\u00a0and decisions from meetings.\u00a0<\/li>\n<li>Scheduling Meetings\/Calls.\u00a0<\/li>\n<li>Organizing stakeholder meetings.\u00a0<\/li>\n<li><b>Financial Oversight\u00a0<\/b><\/li>\n<li>Exercise vigilant control over Cost of Goods (COGS),\u00a0tracking expenditures to guarantee alignment with\u00a0budgetary constraints, fostering financial\u00a0transparency and accountability.\u00a0<\/li>\n<li>Calculate Value of Service Delivered.\u00a0<\/li>\n<li><b>Administrative and Support Tasks\u00a0<\/b><\/li>\n<li>Preparing necessary presentation materials for\u00a0meetings.\u00a0<\/li>\n<li>Filing in SharePoint according to the naming\u00a0convention.\u00a0<\/li>\n<li>Ensure the continuous update and meticulous\u00a0maintenance of critical systems, including Client\u00a0Account Sheets (CAS), Press Tracker, Project\u00a0Management System, and Delivery Schedule.\u00a0<\/li>\n<li>Update Client Account Sheets (CAS);
